About the Role

As an Executive Administrative Assistant, you will play a vital role in supporting our team and driving business success. You will be responsible for providing administrative support, managing day-to-day tasks, and contributing to the overall efficiency of our operations.

Key Responsibilities

  • Answer phones and direct calls in a professional and courteous manner
  • Complete entry-level bookkeeping tasks, including recording expenses, organizing receipts, and maintaining accurate transaction records
  • Resolve billing issues with clients and internal team members, ensuring timely and effective communication
  • Provide account access, usage reports, data analysis, and other ad hoc requests for team members, promoting data-driven decision-making
  • Support quality assurance checks of various internal and client-facing reporting, ensuring accuracy and attention to detail
  • Organize new client contracts, create invoices, and process client payments, maintaining a high level of organization and efficiency
  • Contribute to internal database maintenance, upkeep, and data entry, ensuring data accuracy and integrity
  • Research, order, and distribute company-wide gifts, promoting team morale and appreciation
  • Organize company events, competitions, and special projects throughout the year, fostering a sense of community and teamwork
  • Facilitate company holiday, time off, and schedule variation calendars, ensuring seamless operations and minimal disruptions

Location-Specific Responsibilities (Los Angeles)

  • Mail pickup at Downtown LA office twice per week, ensuring timely and efficient mail processing
  • Scan and organize mail digitally, maintaining accurate and up-to-date records
  • Record and deposit client payments, ensuring prompt and secure payment processing
  • Collect and re-distribute company office equipment from staff in the region, as needed, promoting equipment sharing and resource optimization

Requirements and Qualifications

To succeed in this role, you should possess:

  • A willingness to learn, grow, and collaborate with the team and company as a whole
  • Excellent verbal and written communication skills, with the ability to effectively communicate with clients, team members, and stakeholders
  • A high level of discretion, ethics, and trustworthiness, with the ability to maintain confidentiality and handle sensitive information
  • Intermediate spreadsheet skills, with experience in Google Sheets or Excel, Quickbooks Online, and G Suite (preferred)
  • Innovative thinking and a willingness to challenge existing methods, promoting continuous improvement and process optimization
  • Experience in bookkeeping or financial record-keeping (preferred), with a strong understanding of financial principles and practices
  • The availability to work 40 hours per week from 9:00 am to 6:00 pm PST, with a reliable space to work remotely, including a fast computer, quality internet, camera, microphone, and speakers
