Key Responsibilities

As a Virtual Administrative Assistant at Wayfair, you will be responsible for providing administrative support to senior leaders across the organization. Your key responsibilities will include:

  • Proactively managing schedules with the ability to plan and prioritize meetings, resolve scheduling conflicts, collaborate with other colleagues, and stay ahead of the curve to maintain efficiency
  • Handling travel arrangements (international and domestic) and making regular updates on a case-by-case basis
  • Managing leaders' expenses and ensuring timely reimbursement
  • Scheduling and coordinating multiple weekly and ad-hoc meetings
  • Communicating with key internal and external contacts in a professional manner
  • Representing the team in a positive and professional manner to individuals outside the organization
  • Supporting various company events and initiatives
  • Acting as a backup for other Administrative Assistants as needed

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • Bachelor's degree in a related field (e.g., business administration, communications)
  • 2+ years of experience in an administrative support role, preferably in a fast-paced and dynamic environment
  • High level of proficiency in Google Enterprise Suite tools (calendar, mail, drive, docs, sheets, slides, meet)
  • Excellent written, verbal, and presentation skills
  • Ability to be self-assured and provide push-back when necessary
  • Meticulous attention to detail and strong organizational skills
  • Demonstrated ability to anticipate needs and circumstances before they are fully developed
  • High level of discretion relating to confidential information

Preferred Qualifications

While not required, the following preferred qualifications will make you a more competitive candidate:

  • Experience working in a remote or virtual environment
  • Familiarity with Wayfair's products and services
  • Knowledge of other productivity software and tools (e.g., Microsoft Office, Trello, Asana)
  • Certification in administrative assistance or a related field (e.g., Certified Administrative Professional (CAP))
