About the Role

We are seeking an experienced full stack operations manager to join our team at blithequark. As an operations manager, you will be responsible for ensuring the smooth day-to-day functioning of our office space and IT systems. This is a unique opportunity to work in a dynamic and fast-paced environment where you will be responsible for managing multiple priorities and competing deadlines.

Responsibilities

* Manage the daily operations of the office, including but not limited to: + Answering and responding to phone calls and emails + Welcoming guests and managing office visits + Preparing and distributing mail and packages + Handling office requests and inquiries + Coordinating weekly bank runs and ensuring timely check deposits

  • Oversee all aspects of office maintenance, upgrades, and space planning to ensure optimal efficiency
  • Serve as the primary point of contact for all office and building matters, including but not limited to:

+ Support issues and repairs + Reviews and back-up systems + Acquisition and inventory of equipment, furniture, office supplies, and technology

  • Manage all common systems, including shared contacts, distribution lists, cloud-based platforms like Monday.com, Adobe, Amazon Business, VoIP, Keeper Security, HR Data Framework, Zoom, and all connected written policies
  • Oversee IT needs of the organization, including but not limited to:

+ Investigating and communicating with IT vendors for network support + Ensuring IT meets industry standards + Managing equipment and software needs, including installation + Assessing technology activities against established objectives + Establishing IT policies and frameworks + Collaborating with management and staff to ensure a productively working, innovative mechanical workplace

  • Provide task direction to all new hires, including employee presentations, office visits, technology onboarding, sharing of systems and practices, and a review of blithequark's office activities to facilitate a welcoming onboarding process
  • Work with and offer strategic support for internal staff events, including the monthly blithequark Workforce gathering and weekly standup
  • Ensure the confidentiality of sensitive information both within and outside the organization
  • Collaborate with the Delegate Chief on blithequark's risk management and compliance

Requirements

* Bachelor's degree or equivalent experience

  • Proficiency with moderate degree of capability
  • Familiarity with written and spoken English required
  • Experience with office management, change management, new software implementation, and systems development, execution, and maintenance
  • Experience working in a private company (25-35 staff) IT environment
  • Formal project management training
  • Ability to work in a professional yet fun team environment, including respect for diverse styles and personalities, enthusiasm for collaboration, communication, and celebration
  • Discretionary and sensitive to maintaining confidentiality, as necessary
  • Excellent written and oral communication skills, both casual and formal correspondence, including listening, speaking, writing, and facilitation of conversations where diverse opinions exist. Clear and concise communication.

Preferred Qualifications and Experience

* Office management experience

  • Experience with change management, new software implementation, and systems development, execution, and maintenance
  • Experience working in a private company (25-35 staff) IT environment
  • Formal project management training
