Job Summary

We are recruiting a talented and experienced Administrative Assistant to work closely with our team, providing administrative support and ensuring the smooth operation of our office. The successful candidate will be responsible for a range of duties, including data entry, client support, and office management. This is a remote position, and the ideal candidate will be self-motivated, organized, and able to work independently with minimal supervision.

Key Responsibilities

  • Provide administrative support to the team, including data entry, document management, and record-keeping
  • Assist with client support demands and escalate issues to the relevant property management staff as needed
  • Log and dispatch all requests for service in the blithequark work order system
  • Follow up with clients and stakeholders to ensure service demands are completed to their satisfaction
  • Aid in the preparation and submission of accurate payroll for blithequark field specialists
  • Prepare routine reports to review expiration dates of COIs, vehicle registrations, and vendor contracts
  • Maintain up-to-date fleet insurance and registrations
  • Assist with the coordination of client move-in details to ensure compliance with lease terms
  • Participate in lease cycle management activities, including preparing occupants for ownership, scheduling resident notification/welcome packages, and coordinating HOA/Townhouse communications

Essential Qualifications

  • Bachelor's degree in a relevant field
  • At least 3 years of administrative experience, preferably in office management
  • Knowledge of computer systems, including Microsoft Suite
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Strong organizational and time management skills

Preferred Qualifications

  • Experience in data entry and record-keeping
  • Knowledge of property management software and systems
  • Experience in a remote work environment
  • Certification in administration or a related field
