[Remote] Grant Operations Associate (DAF)

Foundation Source is a company focused on grantmaking operations, and they are seeking a Grant Operations Associate to manage the full lifecycle of grant operations. The role involves collaborating with various teams to ensure accuracy, integrity, and efficiency in grant processes while driving improvements and maintaining compliance.

Responsibilities

  • Serve as a primary point of operational ownership by monitoring Intercom and responding to inbound requests with sound judgment and efficiency
  • Monitor and process PayPal anti-fraud queues, applying consistent compliance standards
  • Process grants through Retool, including detailed compliance review and documentation checks
  • Lead stale grant remediation efforts, proactively resolving issues and reducing downstream risk
  • Maintain and oversee the organization database, including enrollment, data integrity, and conflict resolution
  • Serve as backup support for DAF transaction processing, ensuring continuity and accuracy during peak periods
  • Intake, scan, name, and route incoming mail to ensure timely processing and visibility
  • Verify receipt of grant agreements and upload documentation to appropriate SmartSimple repositories
  • Update grant payment statuses in SmartSimple using data from MineralTree, ensuring system alignment and accuracy
  • Process grants end-to-end with a focus on timeliness, compliance, and data quality
  • Monitor and manage the support mailbox, prioritizing requests and escalating issues as needed
  • Develop and maintain training guides, process documentation, and reference materials
  • Evaluate existing workflows, identify inefficiencies, and recommend practical improvements
  • Support broader client operations initiatives and cross-functional projects as assigned

Skills

  • Strong command of web-based and technical tools, including MS Excel, Salesforce, Adobe Acrobat, and other operational systems
  • Exceptional organizational skills with the ability to manage competing priorities and meet deadlines without losing accuracy
  • Strong analytical and technical aptitude, with comfort navigating multiple systems
  • Ability to work independently while remaining a strong, reliable team contributor
  • Confidence to identify problems, make recommendations, and drive solutions forward
  • Clear, concise written and verbal communication skills

  • Bachelor's degree preferred
