Job Summary

HubSpot is looking for a highly organized and detail-oriented Remote Administrative Coordinator to support our global teams with day-to-day administrative operations. The ideal candidate will play a crucial role in ensuring the smooth execution of internal processes, assisting with scheduling, communication, document management, and other administrative tasks. This role is perfect for a proactive professional who thrives in a dynamic, fast-paced, and fully remote environment.

Key Responsibilities

  • Provide administrative support to multiple departments and senior leaders within HubSpot.
  • Manage calendars, coordinate virtual meetings, and handle travel arrangements (where applicable).
  • Maintain and organize digital files, records, and databases with a high level of accuracy.
  • Prepare reports, presentations, and correspondence on behalf of management.
  • Track project timelines, deadlines, and deliverables to ensure operational efficiency.
  • Handle internal communications and assist in coordinating virtual team events.
  • Support onboarding and offboarding processes for new employees or contractors.
  • Collaborate with cross-functional teams to improve administrative workflows.
  • Ensure confidentiality and compliance with company policies and data protection standards.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field (or equivalent work experience).
  • Proven experience as an administrative coordinator, executive assistant, or similar role.
  • Strong proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Slides, Calendar).
  • Excellent written and verbal communication skills.
  • Exceptional organizational and time-management abilities.
  • High attention to detail and accuracy.
  • Ability to handle multiple tasks and prioritize effectively in a remote work environment.
  • Strong interpersonal skills and a professional demeanor.

Experience

  • Minimum of 2–4 years of administrative or coordination experience, preferably in a technology or SaaS-based organization.
  • Prior experience working remotely with distributed teams is highly desirable.

Working Hours

  • Flexible working hours with availability to collaborate across multiple time zones (EST preferred).
  • Full-time, remote position with opportunities for hybrid collaboration when needed.

Knowledge, Skills, and Abilities

  • Deep understanding of remote work tools such as Slack, Zoom, Trello, and Asana.
  • Knowledge of office management systems and procedures.
  • Ability to maintain discretion when handling confidential information.
  • Strong problem-solving skills with a proactive and solution-oriented mindset.
  • Adaptability to changing priorities and new technologies.
