Job Overview

In this role, you will be responsible for providing exceptional case processing support, mail room assistance, and communications aid to our team. Your primary duties will include logging petitions, creating and labeling case folders, researching cases, and preparing and entering associated data into our systems. You will also be responsible for maintaining the integrity of files within process units and file storage, scanning documents, and associating them with electronic case files.

Key Responsibilities:

  • Log in petitions and create and label case folders
  • Research cases and prepare and enter associated data into systems
  • Maintain the integrity of files within process units and file storage
  • Scan documents and associate them with electronic case files
  • Put case files in document order and identify, report, and obtain missing documents for cases
  • Provide mail room support, including receiving, sorting, opening, organizing, and delivering incoming mail and cases
  • Operate letter insertion and postage equipment and identify and sort mail, petitions, and files
  • Deliver routing sheets/file requests to the appropriate units and request/receive files from other units
  • Log and deliver messages and log petitions
  • Weigh, label, pull, and pack out-going case files
  • Provide communications support, including logging and delivering messages, logging petitions, and inputting call questions and/or email responses into a tracking system
  • Escalate calls to supervisors as required by procedures and resolve caller questions promptly and efficiently
  • Communicate answers clearly and correctly from a scripted call response plan and reference answers from a computer while rapidly typing notes into a system

Requirements and Qualifications

To be successful in this role, you will need to possess intermediate computer skills, including the ability to utilize multiple monitors and active sessions. You should also have basic knowledge of MS Office, including Excel, Word, and Email. Good interpersonal and professional communication skills are essential, as well as the ability to work in a fast-paced environment with rapidly changing priorities.

Essential Qualifications:

  • One to two years of relevant administrative experience preferred
  • Ability to pass a typing test of at least 35-40 WPM with no errors
  • Experience in an office/clerical environment is desired
  • Intermediate computer skills utilizing multiple monitors and active sessions
  • Basic use of MS Office, including Excel, Word, and Email
  • Good interpersonal and professional communication skills
  • Good attention to detail while working in a fast-paced environment
  • Capable of working in a multi-task environment with rapidly changing priorities
  • Very good command of the English Language; Spanish is a plus
  • Demonstrate a professional work ethic
  • Ability to pass a thorough criminal background check and credit history to obtain and maintain a government clearance

Preferred Qualifications:

  • Previous experience in a remote work environment
  • Advanced knowledge of MS Office, including Excel, Word, and Email
  • Experience with data entry software and systems
  • Strong analytical and problem-solving skills
  • Ability to work independently with minimal supervision
