Clerk - Reports Section

Responsible for reviewing offense reports and transferring reports into the Record Management System (RMS) and Uniform Crime Report (UCR) system. Assist with entry, modification, cancellation, and validation of articles and guns in the National and Texas Crime Center database—ability to exercise good discretionary authority and work with minimal supervision and instructions.  The Reporting Systems Clerk will access confidential and sensitive information and organize, maintain, and order office supplies. Interact with Bureau Assistants, the general public, and service providers.

Duties and Responsibilities:

  • Maintains filing system of memoranda, letters, documents, and other materials for assigned duty section.
  • Answers telephones, takes messages, provides information, and refers inquiries to appropriate locations.
  • Types and distributes reports and correspondence; enters computer data.
  • Complies with civil service, departmental, bureau, and division rules, regulations, and standard operating procedures.
  • Communicate effectively and liaise successfully with multiple organizations and businesses, including law enforcement agencies and the public.
  • Comply with expunction orders.
  • Assists in training others on specific issues within the assigned duty section.
  • Assembles, organizes, and tabulates data and develops charts, graphs, and tables.
  • Coordinate work between organizational units of the department.
  • Occasionally function as section leader when designated by a competent authority.
  • Exercise discretion and maintain confidentiality.
  • Keep track of Calendars and schedule meetings.
  • Routinely complete payroll duties.
  • Performs other assignments and duties as required and/or necessary.

    For internal transfers, the salary rate is determined by the employee's current job classification as follows:Classification change: Employees currently in a classification other than Clerk (e.g., Records Specialist, Admin. Assistant, Detention Officer, etc.), if hired, starting salary is at the first step of the Clerk Classification and will have a new rank date for step pay.Lateral transfer: Employees currently employed in the Clerk job classification in other Divisions, if hired, will maintain their current step pay and rank date.

  • High School Diploma or Equivalency.
  • A minimum of one (1) year of paid work experience in an office environment performing clerical duties.
  • Must have achieved a “20” or above on the latest employee evaluation attached to the application.
  • Pass the pre-employment HCSO Clerical Skills Test with a minimum overall score of 75% and score a typing speed of 35 WPM with 85% accuracy

  • Highly organized and able to compile data for record-keeping purposes

  • Detail-oriented, self-motivated, and results-oriented
  • Highly proficient in the use of Microsoft Office Suite ( Word, Excel, Outlook ) and Adobe, with the ability to learn new software and become proficient shortly after training

Assistant, Detention Officer, etc.), if hired, the starting salary is at the first step of the Clerk Classification and will have a new rank date for step pay. Lateral transfer: Employees currently employed in the Clerk job classification in other Divisions, if hired, will maintain their current step pay and rank date.Work EnvironmentThis job operates in both a professional office and field environment.  This role routinely uses standard office equipment, such as computers, office phones, smartphones, photocopiers, filing cabinets, and fax machines.  The applicant must be willing to learn advanced computer techniques and applications pertinent to digital evidence recovery.Physical DemandsThe applicant must be able to lift and carry up to 10 pounds to lift files and/or boxes of files, documents, equipment, etc.  Position Type and Typical Hours of WorkThis is a full-time position.  Days and hours of work are typically Monday through Friday, 8:00 am to 5:00 pm.  Hours may vary based on the business needs of the department. To Apply:
