Role Overview and Job DescriptionAs Chief of Staff in a Family Office, you are a lifelong learner with a bias for action and a commitment to excellence. You serve as the Principal's trusted right hand, ensuring that both professional and personal matters are managed with discretion, foresight, and strategic care. Your responsibilities span business operations, lifestyle management, and executive coordination-bringing structure, driving execution, and protecting the Principal's time and priorities.At Athena, we empower exceptional leaders through world-class delegation. This can include investment management, estate planning, philanthropy, lifestyle and travel coordination, household operations, and other matters that support the Principal's long-term goals and legacy. Family Offices are often highly personalized and operate with a strong emphasis on trust, discretion, and operational excellence.Responsibilities
  • Priority Management & Executive Support: Act as a gatekeeper and prioritization partner, helping the Principal make the most of their time across business, personal, and philanthropic commitments.
  • Operational Oversight: Ensure day-to-day operations across business ventures, Family Office entities, and household matters are running smoothly, solving issues proactively and confidentially.
  • Personal & Lifestyle Coordination: Manage or oversee personal matters including travel planning, property management, household staff, events, gifting, and special projects.
  • Communication & Relationship Management: Serve as liaison with internal staff, external vendors, family members, and business partners-ensuring follow-through and maintaining trusted relationships.
  • High-Impact Initiatives: Lead the development and execution of high-priority projects, including early-stage ideas that drive future growth.
Key Competencies
  • Strategic & Tactical Execution: Ability to toggle between high-level strategic thinking and hands-on execution.
  • Relationship-Oriented: Skilled at managing up, down, and across-comfortable working closely with Principals, staff, and external stakeholders.
  • Operational Excellence: Demonstrated success in creating systems and processes that ensure smooth day-to-day operations in a Family Office setting, including managing household workflows, service standards, and logistics across multiple domains.
  • Proactive Problem-Solving: Resourceful and solutions-oriented, with a bias for action and follow-through.
  • Adaptability: Thrives in a fast-paced, evolving environment, demonstrating agility and resilience in the face of change.
QualificationsRequired:
  • Bachelor's degree with 5-15+ years of experience in an operational, executive support, or Chief of Staff capacity.
  • Strong project management, organizational, and communication skills.
  • High emotional intelligence and professional maturity.
  • Experience working with high-net-worth individuals or within a Family Office, private investment firm, or similar environment.
Preferred:
  • Advanced degree (MA, MS or MBA or equivalent) strongly preferred.
  • Experience managing household staff, personal logistics, or private office affairs.
  • Experience in luxury hospitality or estate management, with a strong service orientation and attention to detail.
Location and Time Zones
  • All Chief of Staff positions are remote.
  • Ability to work North American hours year-round.
