Responsibilities

As a Customer Service Representative, you'll be responsible for:

  • Organizing office operations and assisting associates in optimizing procedures to ensure seamless day-to-day activities
  • Sorting and distributing communications in a timely manner, ensuring that all stakeholders receive accurate and timely information
  • Creating and updating records, maintaining the accuracy and validity of information, and ensuring compliance with established policies
  • Scheduling and planning meetings and appointments, ensuring that all necessary parties are informed and prepared
  • Monitoring the level of supplies and handling shortages to prevent disruptions to our operations
  • Resolving office-related malfunctions and responding to requests or issues in a timely and professional manner
  • Coordinating with other departments to ensure compliance with established policies and procedures
  • Maintaining trusting relationships with suppliers, customers, and colleagues through excellent communication and interpersonal skills
  • Performing receptionist duties when needed, providing a warm and welcoming experience for our clients and visitors

Preferred Skills

While we're open to training the right candidate, we're looking for someone with:

  • Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
  • Knowledge of "back-office" computer systems, including experience with software applications and databases
  • Working knowledge of office equipment, including printers, scanners, and photocopiers
  • A thorough understanding of office management procedures, including record-keeping and data entry
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Analytical abilities and aptitude in problem-solving, with a focus on finding creative solutions to complex challenges
  • Excellent written and verbal communication skills, with the ability to communicate effectively with colleagues, clients, and stakeholders
  • Proficiency in MS Office, including Word, Excel, and Outlook
  • Knowledge of QuickBooks and Excel, with experience in data analysis and financial reporting
