Why This Role Matters

In today’s fast‑moving health‑care environment, accurate patient information and seamless communication between pharmacies, prescribers, and patients are critical. As a Remote Data Entry & Call Center Representative, you will be the backbone of arenaflex’s patient enrollment and medication management processes. Your work ensures that every prescription is processed correctly, every patient query is answered promptly, and every data record complies with HIPAA and other regulatory standards. This role directly contributes to arenaflex’s commitment to delivering safe, timely, and compassionate care.

Key Responsibilities

  • Enter patient and prescription information into arenaflex’s proprietary pharmacy management system with a focus on accuracy and speed.
  • Verify and validate medication orders, refill requests, and “top‑off” prescriptions while adhering to HIPAA privacy rules.
  • Interpret and decode clinical abbreviations (e.g., SIG codes) to ensure correct medication dispensing.
  • Investigate missing or incomplete data, contact patients or prescribers for clarification, and update records accordingly.
  • Process special cases such as medication holds, insurance authorizations, and patient‑initiated changes.

Call Center & Customer Interaction

  • Answer inbound calls, emails, and chat messages from patients, caregivers, and healthcare providers.
  • Provide clear, courteous, and accurate information regarding prescription status, refill eligibility, and pharmacy services.
  • Initiate outbound calls to verify insurance details, obtain prescriber authorizations, and resolve outstanding issues.
  • Document all interactions in the system, ensuring a complete audit trail for compliance purposes.
  • Escalate complex or urgent matters to senior pharmacy staff while maintaining ownership of the resolution process.

Collaboration & Support

  • Assist on‑site and remote pharmacists with data‑related tasks, ensuring they have the information needed to dispense safely.
  • Identify trends or recurring issues in data entry or patient communication and recommend process improvements.
  • Participate in regular virtual team meetings, training sessions, and quality‑assurance reviews.
  • Maintain a professional, empathetic tone that reflects arenaflex’s brand values in every patient interaction.

Essential Qualifications

  • Education: High school diploma, GED, or equivalent.
  • Computer Literacy: Proficient with Windows or macOS operating systems, mouse navigation, opening/closing applications, saving and printing documents, and basic internet browsing.

  • Age Requirement: Must be 18 years of age or older.

Preferred Qualifications & Experience

  • At least one year of experience in a pharmacy or retail environment, preferably in a call‑center or customer‑service setting.
  • Certification or licensure from a state pharmacy board (e.g., Pharmacy Technician certification) is a strong plus.
  • Demonstrated ability to meet quality and compliance standards in a regulated health‑care setting.
  • Advanced typing speed of 35 WPM or higher, with high accuracy.
  • Bilingual proficiency in Spanish and English, enabling you to serve a diverse patient population.
  • Experience using pharmacy management software, electronic health records (EHR), or similar data‑entry platforms.

Core Skills & Competencies

  • Attention to Detail: Ability to spot discrepancies in medication orders and patient data.
  • Problem‑Solving: Proactively identify missing information, ask clarifying questions, and resolve issues without excessive escalation.
  • Time Management: Handle high‑volume call and data entry queues while meeting service‑level agreements (SLAs).
  • Regulatory Awareness: Understanding of HIPAA, state pharmacy regulations, and arenaflex’s internal compliance policies.
  • Customer‑Centric Mindset: Empathy, patience, and a genuine desire to help patients navigate their medication needs.
