About the Role

Our client, a leading global logistics and supply chain company, is seeking a dedicated and efficient Administrative Specialist to join their operations team in Houston, Texas . This role is integral to ensuring the smooth flow of goods and information within the logistics network, providing critical administrative support to dispatchers, freight handlers, and management. The ideal candidate will have a strong aptitude for organization, excellent communication skills, and the ability to thrive in a fast-paced, operational environment. This position offers a great opportunity to gain hands-on experience in the vital logistics industry within a hybrid work model, balancing office-based responsibilities with some remote flexibility.

Key Responsibilities

Provide comprehensive administrative support to the logistics and dispatch teams. Manage and track shipment documentation, ensuring accuracy and completeness for all inbound and outbound freight. Coordinate communication between drivers, warehouse staff, and management to ensure timely deliveries and pickups. Maintain accurate records of inventory, shipping manifests, and delivery confirmations. Assist with scheduling and optimizing delivery routes to improve efficiency and reduce costs. Process invoices, expense reports, and other financial documents related to logistics operations. Prepare regular reports on shipping volumes, delivery times, and operational performance. Respond to inquiries from internal departments and external partners regarding shipment status. Ensure compliance with all relevant transportation regulations and company policies. Support the implementation of new logistics software and processes.

Requirements

Proven experience in an administrative or operational support role, preferably within the logistics or transportation industry. Strong organizational skills and meticulous attention to detail. Excellent verbal and written communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and logistics management software. Ability to multitask and prioritize effectively in a high-pressure environment. Familiarity with supply chain and logistics terminology and processes. Capacity to work both independently and as part of a collaborative team. A problem-solving mindset and a proactive approach to identifying and resolving issues. High school diploma or equivalent required; Associate's degree in Business or related field preferred. Comfort working in a hybrid model, balancing in-office collaboration with remote workdays.
