Position Summary

The Remote Energy Services Data Entry Clerk (Typist) is responsible for the accurate input, maintenance, and organization of client records and program documentation across multiple database systems. Reporting to program leadership, this role supports the daily operations of Energy Services Programs by managing digital files, monitoring communications, and assisting with clerical functions that keep workflows running efficiently. The ideal candidate is self-motivated, tech-savvy, and committed to maintaining the highest standards of confidentiality and accuracy.

Key Responsibilities

Data Management and Database Administration

  • Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and program status at all times.
  • Monitor incoming emails, log documents, and track communications in the Monday.com platform upon receipt to ensure timely follow-up and organized recordkeeping.
  • Follow program guidelines for the use of all required database systems, including but not limited to Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, and In Demand.
  • Maintain organized digital and paper participant files in accordance with program guidelines, ensuring full compliance with agency and funder requirements.
  • Conduct regular audits of data entries to identify and correct discrepancies, ensuring the integrity of all client information.

Program Support and Communication

  • Collaborate with program staff to support, enhance, and promote clear communication and consistency in the delivery of services to clients.
  • Serve as a reliable point of contact for routing documents, flagging urgent items, and ensuring smooth information flow between departments.
  • Assist program leadership with report generation, data extraction, and summary preparation as needed for funder reporting and internal review.

General Clerical and Administrative Duties

  • Assist with various clerical duties, including filing, mailings, phone coverage, document scanning, and other administrative tasks as assigned.
  • Prepare and format correspondence, spreadsheets, and program documents using Microsoft Office and Google Workspace tools.
  • Maintain accurate logs of all incoming and outgoing program communications.

Remote Work, Meetings, and Professional Development

  • Maintain consistent availability for remote work, attending virtual meetings, calls, and responding to emails in a timely manner.
  • Attend all required staff meetings, supervision sessions, training, and contractual meetings via video conference or phone.
  • Participate in mandatory agency training and other relevant professional development activities to stay current on program requirements and best practices.

Compliance and Confidentiality

  • Ensure strict confidentiality is maintained in all aspects of the role, including client information, program data, and internal agency communications.
  • Adhere to all agency policies, funder requirements, and applicable state and federal regulations governing energy assistance programs.
  • Perform related work as required to support the mission and operational needs of the program.

Essential Qualifications and Skills

Education and Experience

  • Associate degree or equivalent professional experience required.
  • Minimum of two years of experience in Human Services or a related field, or applicable work experience working with diverse individuals and families with low incomes.
  • Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education on a year-for-year basis.

Technical and Professional Competencies

  • Strong proficiency with database management systems and the ability to learn new platforms quickly.
  • Excellent typing speed and accuracy with strong attention to detail.
  • Working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Experience with Monday.com, CRM systems, or case management software is highly desirable.
  • Solid organizational skills and the ability to manage multiple priorities in a remote work environment.
  • Strong written and verbal communication skills.

Preferred Qualifications

  • Bilingual in Spanish and English is strongly preferred, as it enables direct communication with a significant portion of the client population served.
  • Prior experience working in non-profit, human services, or community-based organizations.
  • Familiarity with energy assistance programs such as LIHEAP, HEARTWAP, or weatherization initiatives.
