Role Overview

This fully remote position is responsible for end‑to‑end processing of trade, transfer, and corporate activity transactions for alternative investment products. You will act as a liaison between arenaflex’s clearing operations, fund administrators, transfer agents, and external partners, ensuring that every transaction is accurately recorded, reconciled, and reported. The role demands meticulous attention to detail, strong analytical skills, and the ability to communicate effectively across multiple channels, including email, phone, Slack, Outlook, and Salesforce.

Key Responsibilities

  • Transaction Reconciliation: Review, investigate, and resolve trade and transfer breaks between arenaflex and fund administrators, ensuring all discrepancies are corrected within service level agreements.
  • Corporate Actions Processing: Accurately enter and reconcile corporate activity events such as dividends, splits, mergers, and spin‑offs, maintaining precise client account balances.
  • Regulatory Compliance: Apply governing rules (e.g., Rule 2340, Rule 15C3‑3) to all transaction processing, guaranteeing that all activities meet industry standards and internal policies.
  • Issue Investigation & Resolution: Conduct root‑cause analysis on complex or escalated issues, collaborate with internal technology teams and external vendors to implement fixes, and document resolutions for future reference.
  • Testing & Validation: Participate in system enhancement testing, validate new technology releases, and verify that updates do not introduce processing errors.
  • Client & Advisor Support: Respond promptly to inquiries from retail and institutional service teams, providing clear guidance on transaction eligibility, status, and remediation steps.
  • Tax Code Review: Analyze and correct tax coding errors, ensuring accurate tax reporting for dividend and corporate action events.
  • Process Improvement: Identify opportunities to streamline workflows, propose automation initiatives, and contribute to continuous improvement projects.
  • Documentation & Reporting: Maintain detailed logs of reconciliations, issue resolutions, and daily activity summaries for audit and management review.

Essential Qualifications

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field, or equivalent professional experience.
  • Minimum of 2‑4 years of experience in trade reconciliation, corporate actions, or data entry within a financial services environment.
  • Strong understanding of alternative investment products, including hedge funds, private equity, and real‑estate investment trusts.
  • Demonstrated knowledge of regulatory frameworks such as SEC Rule 2340 and FINRA Rule 15C3‑3.
  • Proficiency with industry‑standard platforms (e.g., Salesforce, Bloomberg, or similar) and advanced Microsoft Excel skills (pivot tables, VLOOKUP, macros).
  • Exceptional analytical abilities with a proven track record of identifying and resolving transaction discrepancies.
  • Excellent written and verbal communication skills; ability to convey complex issues in a clear, concise manner.
  • Self‑motivated, detail‑oriented, and capable of thriving in a remote work environment with minimal supervision.

Preferred Qualifications

  • Experience working directly with arenaflex clearing or similar clearing houses.
  • Certification such as Certified Financial Services Auditor (CFSA) or Chartered Financial Analyst (CFA) Level I.
  • Familiarity with automated reconciliation tools (e.g., QRM, BlackLine) and workflow management systems.
  • Prior exposure to project management or process‑improvement methodologies (Lean, Six Sigma).
  • Ability to speak a second language, enhancing communication with international fund administrators.
