Position Overview

arenaflex is seeking an experienced and driven Remote Financial Aid Operations Consultant to join our growing team of higher education specialists. In this role, you will deliver high-impact consulting services to colleges and universities throughout the United States, working directly with institutional leadership and staff to optimize financial aid operations. This is a full-time remote position that allows you to live anywhere in the U.S., with significant travel expected to client sites (approximately 75% to 100% travel).

As a Functional and/or Technical Consultant at arenaflex, you will conduct comprehensive operational reviews, prepare detailed assessment reports, and develop actionable improvement plans that drive measurable results. You will serve as a trusted advisor to institutions, guiding them through complex regulatory landscapes, modernizing their financial aid processes, and implementing technology solutions that enhance efficiency and compliance. This role is ideal for a seasoned financial aid professional who is ready to transition from institutional employment to a consulting career with broader reach and influence.

Key Responsibilities

Client Engagement and Operational Improvement

  • Partner closely with client institutions to identify, analyze, and address financial aid compliance and operational challenges through tailored improvement plans.
  • Serve in acting director of financial aid capacities, middle management roles, or perform standard day-to-day financial aid processing tasks as required by specific client engagements.
  • Conduct thorough operational reviews of financial aid offices, evaluating workflows, staffing models, and processing efficiency.
  • Prepare comprehensive written reports of findings, including actionable recommendations and implementation roadmaps.
  • Develop and execute corrective action plans that address identified deficiencies and strengthen institutional operations.

Regulatory Research and Analysis

  • Research complex federal and state regulatory issues affecting financial aid administration.
  • Provide concise, well-reasoned analysis and recommendations to client institutions on regulatory matters.
  • Stay current on changes to Title IV regulations, state aid programs, and institutional compliance requirements.
  • Assist clients in interpreting and applying new regulations to their specific operational contexts.

Training and Knowledge Transfer

  • Design and lead engaging training sessions on financial aid topics for individual clients and larger group settings.
  • Develop training materials, presentations, and reference documentation that support client learning and retention.
  • Mentor client staff on best practices in financial aid administration and operational excellence.
  • Facilitate workshops and professional development opportunities for institutional teams.

Project Management and Technology Implementation

  • Create detailed project plans that outline scope, timelines, deliverables, and milestones for consulting engagements.
  • Manage software implementation and configuration projects, coordinating with vendors and client IT teams.
  • Oversee system upgrades, module implementations, and process automation initiatives.
  • Ensure projects are delivered on time, within scope, and to the highest quality standards.

Documentation and Reporting

  • Create thorough documentation of completed work, including process manuals, standard operating procedures, and best practice guides.
  • Maintain accurate records of client engagements, deliverables, and outcomes.
  • Contribute to arenaflex's internal knowledge base by sharing insights, templates, and lessons learned from client projects.

Essential Qualifications

  • Education: Bachelor's degree from an accredited institution (required).
  • Experience: Five to seven years of progressive experience in financial aid administration, with demonstrated growth in responsibility and scope.
  • Training Skills: Proven ability to organize, develop, and deliver effective training to diverse audiences.
  • Regulatory Knowledge: Comprehensive understanding of federal and state financial aid regulatory requirements, including Title IV programs.
  • Systems Experience: Hands-on experience with major financial aid information systems, including Banner, CampusVue, Datatel (Colleague), PeopleSoft, PowerFAIDS, and/or similar platforms.
  • Process Improvement: Demonstrated experience in financial aid operations, workflow optimization, and the development of corrective action plans.
  • Communication Skills: Exceptional written and verbal communication abilities, with a track record of producing clear, professional reports and presentations.
  • Technical Proficiency: Skilled user of Microsoft Office products, including Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications

  • Three or more years of experience working with Banner, CampusVue, Datatel, PeopleSoft, PowerFAIDS, and/or other major student information systems.
  • Prior consulting experience or exposure to client-facing project work.
  • Experience managing software implementations or system configurations in a higher education environment.
  • Familiarity with quality assurance frameworks and continuous improvement methodologies.
  • Professional certifications related to financial aid administration (e.g., NASFAA credentials).

All travel expenses are covered by arenaflex, and our team works closely with consultants to plan logistics efficiently.
