Remote Data Entry Specialist – Human Resources Operations & Confidential Records Management at arenaflex
About arenaflex and the Opportunity
arenaflex is a forward-thinking, fully distributed organization that has built its reputation on operational excellence, data-driven decision-making, and a commitment to supporting the people behind every business function. As our Human Resources department continues to expand, we are seeking a meticulous, dependable, and highly organized Remote Data Entry Specialist to join our People Operations team. This is more than a typing role — it is a critical position that ensures the integrity, accuracy, and confidentiality of the employee information that powers our entire workforce management strategy.
In this role, you will operate at the heart of our HR operations, processing sensitive employee records, updating internal systems, and serving as a reliable point of coordination for administrative workflows that keep our distributed team connected. If you take pride in precision, thrive in a quiet, focused remote work environment, and want to contribute to a company that values accuracy as much as innovation, this opportunity is designed for you. arenaflex offers a competitive hourly rate of $70 per hour, flexible scheduling, and a culture that respects deep work and meaningful contribution.
Key Responsibilities
As the Remote Data Entry Specialist within the Human Resources department at arenaflex, your day-to-day contributions will directly support the employee lifecycle and the operational rhythm of our HR team. Your primary responsibilities will include, but are not limited to:
- Accurate Data Input and Maintenance: Enter, update, and maintain employee information across multiple HR information systems (HRIS), applicant tracking platforms, and internal databases with a high degree of accuracy and speed. This includes new hire records, promotions, transfers, benefits enrollments, time-off balances, and terminations.
- Data Integrity and Quality Control: Conduct routine audits of employee records to identify discrepancies, missing information, or outdated entries. Flag and resolve data quality issues promptly to ensure the HR database remains a reliable single source of truth for the entire organization.
- Confidentiality and Compliance: Handle sensitive personally identifiable information (PII) in strict accordance with arenaflex's data privacy policies, HIPAA-adjacent best practices, and applicable labor and employment regulations. Maintain absolute discretion when dealing with confidential personnel files, compensation details, and internal HR documentation.
- HR Administrative Support: Provide comprehensive administrative assistance to the HR team, including preparing correspondence, formatting reports, generating employee letters (offer letters, verification of employment, reference letters), and supporting onboarding documentation packages.
- Cross-Functional Communication: Liaise effectively with team members across HR, Payroll, Recruiting, and Operations to verify data, clarify discrepancies, and ensure smooth handoffs between departments. Communicate professionally via email, chat platforms, video conferencing, and ticketing systems.
- Reporting and Document Organization: Assist in preparing standard and ad-hoc HR reports, maintaining organized digital filing structures, and supporting the HR team during audits, open enrollment periods, and performance review cycles.
- Process Improvement Contributions: Identify opportunities to streamline repetitive data entry tasks, suggest automation improvements, and contribute feedback that helps arenaflex continually refine its HR operational workflows.
Essential Qualifications
To be successful in this role, candidates must demonstrate the following foundational qualifications:
- Proven Data Entry Experience: A minimum of 1–2 years of professional experience in data entry, administrative support, or a closely related clerical role. Prior experience supporting an HR department or working within an HRIS environment is strongly preferred.
- Typing Speed and Accuracy: A typing speed of at least 60 words per minute (WPM) with exceptional accuracy. You should be comfortable working with numerical data, alphanumeric codes, and detailed text fields for extended periods.
- Exceptional Attention to Detail: A demonstrated ability to spot inconsistencies, typos, and data anomalies that others may overlook. Precision is not optional in this role — it is the core competency.
- Strong Organizational Skills: The ability to manage multiple data entry tasks, prioritize deadlines, and maintain orderly digital records without supervision.
- Independent Worker Mindset: Proven ability to thrive in a fully remote environment, manage your own schedule, maintain productivity without micromanagement, and proactively communicate progress and blockers.
- Technical Proficiency: Comfortable using Microsoft Office Suite (especially Excel and Outlook), Google Workspace, and modern HR or database platforms. Willingness to learn arenaflex's proprietary tools and systems.
- Confidentiality Awareness: A strong sense of professional ethics and an understanding of the importance of safeguarding sensitive employee information.
Preferred Qualifications
While not strictly required, the following qualifications will help you stand out as an applicant:
- Prior experience with HRIS platforms such as BambooHR, Workday, ADP, Gusto, or similar systems.
- Familiarity with basic HR terminology, employee lifecycle stages, and standard HR documentation.
- Experience working in a fully remote or distributed company environment.
- Exposure to payroll data entry, benefits administration, or compliance-related recordkeeping.
- Basic understanding of data privacy regulations such as GDPR, CCPA, or equivalent frameworks.
- Associate's or Bachelor's degree in Human Resources, Business Administration, Office Management, or a related field.
Skills and Competencies for Success
Beyond the baseline qualifications, the ideal candidate for this position at arenaflex will bring a thoughtful mix of technical and interpersonal capabilities:
- Written Communication: Clear, professional, and concise writing skills for drafting internal correspondence and updating records with care.
- Time Management: The ability to balance speed with accuracy, meet daily and weekly throughput goals, and adapt to shifting priorities.
- Problem-Solving Aptitude: A resourceful approach to troubleshooting data mismatches, locating missing information, and resolving incomplete records.
- Discretion and Emotional Intelligence: Sensitivity when handling personnel matters, performance-related documentation, and confidential compensation data.
- Adaptability: Comfort with evolving tools, shifting compliance requirements, and the natural growth that comes with a scaling organization.
- Reliability: A consistent track record of showing up, following through, and delivering high-quality work on time.
