As a Customer Service Representative – Direct Mail & Print Sales Operations at arenaflex, you will be the critical bridge between our sales teams, creative partners, and fulfillment vendors. Key Responsibilities

  • Client Insight Gathering: Conduct thorough discovery calls and email exchanges to capture the precise needs, objectives, and budget constraints of each client.
  • Estimate Generation: Leverage arenaflex’s web‑based quoting platform to produce accurate, timely mail and print estimates for the sales department.
  • Vendor Pricing Acquisition: Source competitive pricing from external print vendors, negotiate rates, and document cost structures for custom print jobs.
  • Cost Presentation: Prepare clear, detailed cost proposals and present them to the sales team, highlighting value‑added options and potential savings.
  • Artwork Management: Review, pre‑flight, and route artwork files to the appropriate vendors, ensuring compliance with technical specifications.
  • Order Creation: Build comprehensive print orders—including specifications, quantities, and delivery schedules—and transmit them to print partners.
  • Production Collaboration: Attend weekly production meetings, report on job status, flag risks, and coordinate any required changes.
  • Reporting & Tracking: Maintain an up‑to‑date print job tracker, monitoring progress from order entry through final delivery.
  • Team Support: Serve as backup for the Print Coordinator and assist arenaflex Sr. Designers with ad‑hoc tasks as needed.
  • Process Improvement: Identify bottlenecks, propose workflow enhancements, and champion initiatives that accelerate turnaround times and improve communication.

Essential Qualifications

  • Minimum two years of professional customer service experience; experience in the media or direct‑mail sector is a strong plus.
  • At least one year of hands‑on graphic design work, demonstrating a solid grasp of visual design principles, color theory, and typography.
  • Proficiency with the Adobe Creative Suite—including InDesign, Illustrator, Photoshop, and Acrobat.
  • Advanced Microsoft Excel skills: ability to use complex functions, pivot tables, and data analysis tools to sort and interpret large datasets.
  • Demonstrated success producing accurate results under tight deadlines and high‑pressure environments.
  • Excellent written and verbal communication skills, with a talent for building rapport with diverse personalities.
