Position Overview

We are currently seeking a dedicated and detail-oriented Healthcare Case Management Specialist – Data Entry and Clinical Review Coordination to join our growing team. In this role, you will play a critical part in supporting our case management operations by creating new cases, coordinating with professional reviewers, generating required correspondence, and ensuring that all documentation is accurate, timely, and compliant with state and client requirements. This position is ideal for a motivated professional with prior experience in healthcare administration, medical records, case coordination, or a related field who thrives in a fast-paced, detail-driven environment.

Key Responsibilities

As a valued member of the arenaflex team, your day-to-day responsibilities will include, but are not limited to, the following:

  • Case Creation and Intake: Create new cases in the case management software as applicable, ensuring all required information is captured accurately at the point of intake. This serves as the foundation for the entire case lifecycle.
  • Correspondence Generation: Prepare and create various required letters based on the specific service type being requested, and determine the appropriate date to be scheduled for review by the assigned Professional Reviewer (PR).
  • Information Coordination for HCR Services: For cases under the HCR service type, assist the Case Network Representative (CNR) in obtaining additional information from the client as requested. Upon receipt of any requested additional information, promptly notify the CNR that the information has been received.
  • Client Communication Management: Maintain ongoing communication with the referring party throughout the lifecycle of each case, including proactively communicating any delays in service. Clear and timely communication is essential to maintaining trust and satisfaction.
  • Reviewer Selection and Scheduling: When scheduling a case, select the appropriate Professional Reviewer (PR) to complete the service type using established selection criteria, including availability within the requested timeframe and pricing relative to client pricing thresholds.
  • Reviewer Communication and Follow-Up: Maintain consistent communication with the assigned Professional Reviewer during the review process to ensure timely and accurate delivery of the review service. This includes following up on outstanding reviews and resolving any scheduling or documentation concerns.
  • Policy and Process Compliance: Maintain all policy and process requirements for every service type, including the timely submission of all required correspondence and documentation consistent with applicable state regulations and individual client requirements.
  • Accurate Case Documentation: Accurately and consistently document all required case activities in the case management software. Thorough documentation is critical to audit readiness, quality assurance, and operational continuity.
  • Report Finalization and Delivery: Once Quality Assurance (QA) is complete, finalize the report and deliver it to the appropriate parties in accordance with service-level commitments.
  • Financial Data Entry: Accurately input Professional Reviewer (PR) cost and client charge information for invoicing and payment processing by the Accounting Department. Accuracy in financial data entry ensures timely payment and clean financial reporting.
  • Escalation and Guidance: Seek the advice of the CNR and/or direct supervisor, as needed, when performing assigned duties. Knowing when to ask for guidance is a strength we value at arenaflex.
  • Confidentiality and Compliance: Protect confidential patient information in strict compliance with arenaflex corporate confidentiality policies, as well as HIPAA and other applicable privacy regulations.
  • Additional Duties: Perform other duties as assigned to support the overall goals of the team and the organization.

Required Qualifications and Education

To be successful in this role, candidates must meet the following minimum requirements:

  • Educational Background: A High School diploma or GED equivalent is required.
  • Professional Experience: A minimum of two (2) years of related experience in healthcare administration, case management, medical records, customer service, data entry, or a similar field.
  • Technical Proficiency: Strong computer skills, including experience with case management software, Microsoft Office Suite (Word, Excel, Outlook), and the ability to learn new systems quickly.
  • Attention to Detail: Demonstrated ability to handle data entry with a high degree of accuracy, particularly when working with financial information, dates, and patient records.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to communicate professionally with clients, reviewers, and internal team members.
  • Time Management: Strong organizational and time management skills, with the ability to prioritize multiple cases and meet deadlines in a fast-paced environment.
  • Confidentiality Awareness: A solid understanding of, and commitment to, maintaining patient confidentiality and data security best practices.

Preferred Skills and Experience

While not required, the following qualifications will help you stand out as an exceptional candidate:

  • Prior experience working in a healthcare, insurance, legal, or case management environment.
  • Familiarity with medical terminology, clinical workflows, or healthcare documentation standards.
  • Experience working with remote Professional Reviewers, consultants, or independent contractors.
  • Knowledge of HIPAA regulations and other healthcare compliance standards.
  • Previous experience with quality assurance processes and report finalization.
  • Demonstrated ability to identify process improvement opportunities and contribute to operational efficiencies.
  • A customer-service mindset with a track record of building positive relationships with clients and stakeholders.
