Position Overview

arenaflex is currently seeking a Part Time Data Entry Clerk to join our administrative operations team. This is a hybrid office support role focused on records management, accounts payable processing, inventory documentation, and confidential file maintenance. The ideal candidate will bring precision, reliability, and a self-motivated work ethic to a position that supports multiple departments across the organization.

This role is structured as a part-time opportunity, requiring availability to work between 16 and 25 hours per week. It is an excellent fit for individuals seeking meaningful professional work that complements other life commitments — whether you are a student, a parent returning to the workforce, a semi-retired professional, or someone looking to build administrative expertise within a respected organization.

Key Responsibilities

As a Part Time Data Entry Clerk at arenaflex, your responsibilities will be varied, detail-intensive, and central to the smooth operation of our administrative infrastructure. You will:

  • Execute Data Entry Tasks with Accuracy: Perform high-volume data entry and filing tasks for accounts payable records, purchase orders, equipment inventory logs, and confidential employee or departmental files. Maintain data integrity across multiple platforms and ensure that all entries are timely, complete, and error-free.
  • Manage Document Preparation and Distribution: Copy, collate, and otherwise prepare reports for mailings, internal meetings, executive briefings, and other organizational correspondence. Ensure that all printed and digital materials are professionally formatted and ready for distribution according to established timelines.
  • Maintain Confidential Records: Handle sensitive employee and departmental documentation with the utmost discretion and professionalism. Uphold all confidentiality standards and data protection protocols consistent with arenaflex policies.
  • Support Accounts Payable Processes: Assist with invoice processing, vendor records, payment documentation, and reconciliation support as needed to ensure that financial workflows remain accurate and current.
  • Contribute to Equipment Inventory Tracking: Update and maintain inventory records for company equipment, flagging discrepancies and supporting periodic physical inventory audits.
  • Adapt to Evolving Operational Needs: Perform other related duties as assigned, demonstrating flexibility and a team-first mindset as organizational priorities shift.
  • Uphold arenaflex Standards: Carry out all responsibilities in alignment with "The arenaflex Way" — with urgency, integrity, and professionalism in every interaction.

Required Skills and Abilities

To succeed in this role at arenaflex, candidates should possess the following essential qualifications:

  • Typing Proficiency: Ability to type at a minimum of 50 words per minute with a high degree of accuracy.
  • Proofreading Expertise: Strong proofreading skills with a keen eye for spelling, grammar, numerical accuracy, and formatting consistency.
  • Software Proficiency: Demonstrated competency in Microsoft Office Suite (including Word, Excel, and Outlook) or comparable productivity software.
  • Office Equipment Familiarity: Basic understanding of office equipment such as printers, scanners, copiers, and multi-line telephone systems.
  • Clerical Knowledge: Foundational understanding of clerical procedures and systems, including recordkeeping methods, filing structures (alphabetical, numerical, and chronological), and standard office workflows.
  • Independent Problem Solving: Ability to work independently, identify discrepancies, and proactively solve routine administrative problems without constant supervision.
  • Organizational and Prioritization Skills: Demonstrated ability to organize multiple tasks, prioritize effectively under deadline pressure, and manage competing demands with composure.

Preferred Qualifications

While not strictly required, the following qualifications will distinguish standout candidates:

  • Prior experience in a data entry, administrative assistant, or clerical role.
  • Experience working with accounts payable systems or basic accounting software.
  • Familiarity with inventory management systems or asset tracking tools.
  • Exposure to confidential information handling and HIPAA or similar compliance frameworks.
  • Experience in a small-to-mid-sized business environment where wearing multiple hats is the norm.

  • Adaptability: Comfort operating in a dynamic environment where priorities may evolve based on business needs.
