About arenaflex

arenaflex is a forward‑thinking leader in the health‑care support ecosystem, dedicated to empowering clinicians, patients, and provider networks with seamless, secure, and accurate medical documentation. Our mission is to transform the way health information flows across the continuum of care, ensuring that every record is complete, compliant, and readily accessible. As a fully remote‑first organization, arenaflex embraces flexibility, technology, and a culture of continuous improvement, allowing our team members to thrive from any location while making a tangible impact on patient outcomes.

Why This Role Matters

In today’s data‑driven health‑care landscape, the integrity of medical records is the foundation of quality care, regulatory compliance, and operational efficiency. As a Remote Medical Records Data Entry Assistant, you will be the guardian of that integrity, supporting field care teams by guaranteeing that every chart, scan, and data point is accurate, secure, and properly indexed. Your work will directly enable clinicians to focus on patient interaction rather than paperwork, accelerating diagnosis, treatment, and follow‑up.

Key Responsibilities

  • Ensure all review, transmission, and storage of patient information complies with arenaflex privacy policies and HIPAA regulations.
  • Verify and process requests for charts to be pulled for patient care, quality review, and audits promptly and accurately.
  • Scan, index, and upload medical records to the appropriate electronic chart, maintaining meticulous organization.
  • Manage inbound and outbound communications with providers, health‑system partners, and internal teams in a professional and courteous manner.
  • Enter, review, and validate member and provider information within the care‑management platform, correcting discrepancies as they arise.
  • Adhere to arenaflex’s ethical business practices and organizational standards in every task.
  • Complete administrative duties related to patient and provider care‑plan delivery, including documentation of admission and discharge status.
  • Obtain pertinent medical records from hospitals, nephrology clinics, home‑health agencies, and other clinical entities, ensuring timely scan and upload.
  • Build and nurture positive, supportive relationships with providers, patients, and field teams to facilitate smooth information flow.
  • Collaborate with field clinicians to enable them to work at the top of their license by providing reliable documentation support.
  • Participate in scheduled meetings, training sessions, and continuous‑improvement initiatives as requested.
  • Perform additional duties and responsibilities assigned by supervisors, contributing to the overall success of arenaflex’s mission.

Essential Qualifications

  • Education: High School diploma or GED required.
  • Experience: Minimum of one year working with medical records in a health‑care setting, demonstrating familiarity with electronic health record (EHR) systems.
  • Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and basic computer operations, including scanning, file organization, and data entry.
  • Attention to Detail: Demonstrated ability to enter data accurately, spot inconsistencies, and maintain high‑quality standards.
  • Organizational Ability: Advanced organization skills to manage multiple requests, prioritize tasks, and meet deadlines.
  • Time Management: Strong ability to manage time effectively in a remote environment, balancing competing priorities without direct supervision.
  • Confidentiality: Commitment to safeguarding patient information and adhering to HIPAA and arenaflex privacy policies.

Preferred Qualifications & Additional Skills

  • Experience with specific EHR platforms (e.g., Epic, Cerner, Allscripts) or health‑information management systems.
  • Knowledge of medical coding systems such as ICD‑10, CPT, or SNOMED.
  • Prior remote work experience, demonstrating self‑discipline and effective virtual communication.
  • Excellent written and verbal communication skills, enabling clear interaction with providers and internal teams.
  • Problem‑solving mindset, with the ability to troubleshoot data discrepancies and propose process improvements.
  • Familiarity with data‑security best practices and secure file‑transfer protocols.

Core Competencies for Success

  • Accuracy & Precision: A meticulous approach to data entry that minimizes errors and ensures reliable records.
  • Collaboration: Ability to work cross‑functionally with clinicians, administrators, and external partners.
  • Adaptability: Comfort with evolving workflows, new technology tools, and changing regulatory requirements.
  • Customer‑Centric Attitude: Providing supportive service to providers and patients, fostering trust and satisfaction.
  • Self‑Motivation: Proactive in identifying tasks, seeking clarification when needed, and delivering results without constant oversight.
