The Remote Data Entry Specialist is the backbone of arenaflex’s alternative investment processing engine. Every day, you will reconcile trade and transfer activities, resolve discrepancies between arenaflex and fund administrators, and support critical corporate actions that directly affect client and advisor accounts. Your meticulous attention to detail and proactive problem‑solving will safeguard client satisfaction, protect the firm’s reputation, and help maintain compliance with industry regulations such as Rule 2340 and SEC Rule 15c3‑3.

Key Responsibilities

  • Trade & Transfer Reconciliation: Review, validate, and reconcile daily trade and transfer transactions for alternative investment products, ensuring all client‑level data aligns with fund administrator records.
  • Break Identification & Resolution: Detect and investigate trade breaks, dividend discrepancies, and transfer mismatches between arenaflex and external partners; coordinate timely remediation.
  • Corporate Actions Processing: Execute corporate action events (e.g., mergers, spin‑offs, tender offers) by accurately posting activity, updating client holdings, and communicating outcomes to stakeholders.
  • Dividend Management: Process dividend distributions, reconcile cash flows, and verify tax‑withholding calculations to meet both client expectations and regulatory requirements.
  • Exception Handling: Serve as the escalation point for complex or high‑value issues, conducting root‑cause analysis and collaborating with technology, compliance, and vendor teams to implement lasting solutions.
  • Technology Testing & Validation: Participate in system enhancements, perform functional testing of new features, and validate vendor updates to ensure seamless integration with arenaflex’s workflow.
  • Regulatory Compliance: Apply knowledge of relevant regulations (e.g., 2340, 15c3‑3) to maintain audit‑ready records and support internal compliance reviews.
  • Stakeholder Communication: Interact daily with Retail and Institutional Service Teams via email, phone, Slack, Outlook, and Salesforce; provide clear status updates and guidance on fund‑specific requirements.
  • Process Improvement: Identify opportunities to streamline reconciliation processes, reduce manual effort, and enhance data quality across the alternative investment platform.

Essential Qualifications

  • High school diploma or equivalent; associate’s or bachelor’s degree in finance, accounting, business, or a related field is preferred.
  • Minimum 2 years of experience in data entry, trade reconciliation, or corporate actions within a financial services environment.
  • Demonstrated ability to interpret and apply investment‑related regulations, including Rule 2340 and SEC Rule 15c3‑3.
  • Strong analytical skills with a proven track record of identifying and resolving transaction discrepancies.
  • Proficiency with industry‑standard platforms such as Salesforce, Bloomberg, or similar trade/order management systems.
  • Excellent written and verbal communication skills; ability to convey complex information clearly to internal and external partners.
