Key Responsibilities

As a Remote Customer Support Specialist at arenaflex, you will be the frontline ambassador for our clients, ensuring every interaction is handled with precision, empathy, and efficiency. Your day‑to‑day duties will include, but are not limited to:

  • Scheduling & Calendar Management: Coordinate and manage appointments, meetings, and events for both external clients and internal teams. Maintain up‑to‑date calendars, send reminders, and resolve conflicts to keep projects on track.
  • Administrative Assistance: Provide comprehensive support for routine administrative tasks such as email triage, document preparation, file organization, and data filing. Ensure all communications are professional and aligned with arenaflex brand standards.
  • Travel Booking & Itinerary Planning: Arrange travel itineraries—including flights, accommodations, ground transportation, and visa requirements—using industry‑standard booking platforms. Verify accuracy, cost‑effectiveness, and compliance with client policies.
  • Customer Service & Client Relations: Serve as the primary point of contact for client inquiries, delivering prompt, courteous, and solution‑focused responses. Escalate complex issues to appropriate teams while maintaining ownership of the resolution process.
  • Data Entry & CRM Management: Accurately input and maintain client data, travel details, and project information within our Customer Relationship Management (CRM) system. Conduct regular audits to ensure data integrity.
  • Task Coordination & Project Support: Assist project managers with task tracking, deadline monitoring, and status reporting. Contribute to cross‑functional initiatives by providing administrative backing and logistical coordination.
  • Continuous Improvement: Identify opportunities to streamline processes, enhance service delivery, and improve client satisfaction. Propose and implement best‑practice solutions in collaboration with senior leadership.

Essential Qualifications

  • Minimum 2 years of proven experience in administrative support, scheduling, or customer service, preferably within a consulting, travel, or SaaS environment.
