Key Responsibilities – What You’ll Do Every Day

Medical Record Retrieval & Management

  • Locate and retrieve patient medical records from a variety of hospital information systems, including EMR, EHR, and legacy databases.
  • Verify the completeness and accuracy of retrieved documents before they are entered into the project workflow.
  • Scan, index, and securely store electronic copies of records in accordance with HIPAA and arenaflex data‑security protocols.

Data Extraction, Entry & Reporting

  • Extract critical billing and clinical information from hospital patient accounting systems and input it into arenaflex’s proprietary data platforms.
  • Generate patient itemized bills, ensuring that each line item aligns with coding standards and payer requirements.
  • Produce and maintain detailed reports for internal audits, external compliance reviews, and client deliverables.
  • Utilize advanced Excel functions—pivot tables, VLOOKUP, macros—to clean, analyze, and summarize large data sets efficiently.

Communication & Coordination

  • Make outbound calls to post‑acute care facilities, insurance providers, and other stakeholders to gather missing information or clarify billing details.
  • Collaborate closely with registered nurses, certified coders, and billing analysts to resolve discrepancies and ensure timely claim submission.
  • Document all communications in the project management system, providing a clear audit trail for future reference.

Project Support & Continuous Improvement

  • Assist the Recovery team with ad‑hoc data‑gathering tasks, special projects, and process‑optimization initiatives.
  • Identify opportunities to streamline workflows, reduce manual effort, and improve data quality, then propose actionable solutions.
  • Participate in regular team meetings, training sessions, and knowledge‑sharing forums to stay current on industry best practices.

Essential Qualifications – What We Require

  • Education: High school diploma or GED required; associate’s degree in health information management, business administration, or a related field is preferred.
  • Experience: Minimum 1–2 years of experience in medical record handling, data entry, or health‑care billing environments.
  • Technical Skills: Proficiency with Microsoft Excel (including advanced functions), familiarity with EMR/EHR systems, and basic knowledge of medical coding (ICD‑10, CPT) is advantageous.
  • Communication: Excellent verbal and written communication skills; ability to convey complex information clearly to clinical and non‑clinical audiences.
  • Attention to Detail: Demonstrated ability to maintain high accuracy while processing large volumes of data.
