Key Responsibilities

  • Office Organization & Process Optimization: Streamline daily workflows, identify bottlenecks, and implement innovative solutions that enhance overall efficiency.
  • Communication Management: Sort, prioritize, and distribute incoming communications—emails, phone calls, and physical mail—ensuring timely responses and accurate routing.
  • Record Creation & Maintenance: Generate, update, and audit records in arenaflex’s database, guaranteeing data integrity and compliance with industry standards.
  • Scheduling & Calendar Coordination: Arrange meetings, appointments, and field service dispatches, balancing the needs of multiple departments and external stakeholders.
  • Supply Monitoring & Inventory Control: Track office supplies, anticipate shortages, and coordinate re‑ordering to prevent disruptions.
  • Issue Resolution & Technical Support: Diagnose and resolve office‑related equipment malfunctions, liaise with vendors, and document solutions for future reference.
  • Cross‑Departmental Collaboration: Work closely with operations, finance, and field teams to ensure policies are adhered to and information is shared consistently.
  • Relationship Management: Build and maintain trusting relationships with suppliers, customers, and colleagues, acting as an ambassador for arenaflex’s brand values.
  • Receptionist Duties: Greet visitors, manage the front desk, and provide a professional first impression of arenaflex.

Essential Qualifications

  • Minimum of 2 years proven experience in a back‑office, office assistant, or comparable administrative role.
  • Demonstrated ability to work with high‑volume data entry and maintain meticulous attention to detail.
  • Valid driver’s license and reliable transportation for occasional off‑site tasks.
  • Strong analytical mindset with a proactive approach to problem‑solving.
  • Excellent written and verbal communication skills, capable of interacting with diverse audiences.
  • Proficiency in arenaflex’s suite of productivity tools (formerly known as MS Office) and familiarity with arenaflex accounting platform (formerly QuickBooks).
  • Working knowledge of standard office equipment, including multi‑function printers, scanners, and telephone systems.
