Position Overview: Data Entry Administrator – Credentialing Support

We are currently seeking a detail-oriented, highly organized, and motivated Data Entry Administrator to join our Credentialing Team. In this role, you will provide essential administrative and operational support that directly impacts the speed, accuracy, and quality of provider onboarding and ongoing credentialing activities. The Credentialing Team at arenaflex ensures that every provider in our network meets all regulatory, payor, and compliance requirements so that our clients receive timely, uninterrupted, and high-quality care.

As a Data Entry Administrator, you will be entrusted with reviewing and processing critical provider documentation, facilitating smooth communication between internal teams, and maintaining meticulous records across multiple systems. Your precision and efficiency will help new providers start on time, existing providers stay in good standing, and the credentialing process run seamlessly. Key Responsibilities

  • Provider Onboarding Support: Act as a primary point of administrative support for newly hired providers and existing providers experiencing changes in their status, credentials, or service locations. Ensure a smooth and welcoming onboarding experience through clear, timely communication.
  • Document Review and Verification: Carefully review, confirm, and upload credentialing documents from internal credentialing systems into the Credentialing SharePoint, ensuring that all documentation meets the specific credentialing requirements of the relevant state.
  • CAQH Account Management: Verify that new hires have an updated CAQH (Council for Affordable Quality Healthcare) account, upload and attest credentialing documents, confirm practice locations, and ensure that the Certificate of Insurance is current and accurately reflected in the system.
  • Payor Documentation Preparation: Pre-populate payor-specific documentation on behalf of the Credentialing Specialist to streamline the credentialing process, reduce turnaround time, and ensure consistency across submissions.
  • Payor Portal Verification: Verify provider enrollment and credentialing status on various payor portals, flagging any issues, discrepancies, or pending items that require follow-up.
  • Medicaid Status Confirmation: Review and, when necessary, contact state Medicaid payors directly to confirm the credentialing status of providers and to resolve any open matters that may delay their start date.
  • Internal Follow-Up and Coordination: Proactively follow up with internal teams to obtain updated provider information, status changes, and documentation required to facilitate timely provider start dates.
  • General Administrative Support: Perform other related duties and special projects as assigned by leadership, contributing to the overall efficiency and success of the Credentialing Team.

  • Time Management: Strong time management skills and a proven track record of meeting deadlines in a fast-paced, deadline-driven environment.
  • Analytical and Problem-Solving Skills: The ability to analyze information, identify potential issues, and recommend effective solutions in a timely manner.
  • Adaptability and Team Support: A flexible, team-oriented attitude with the ability to support the Credentialing Team as needs arise and adapt to shifting priorities.
  • Technical Proficiency: Working knowledge of the Microsoft Office Suite (Word, Excel, Outlook, SharePoint) or related software platforms. Comfort navigating multiple digital systems and learning new tools quickly is essential.

Education and Experience Requirements

  • Required: A high school diploma or equivalent is required.
  • Preferred: At least one year of related experience in an administrative capacity, ideally within a healthcare, credentialing, insurance, or similarly regulated environment. Experience working with provider documentation, payor portals, or compliance-driven processes is highly desirable.

Physical Requirements

This is primarily a sedentary, computer-based role. The physical requirements include:

  • Remaining in a stationary position for more than two-thirds of the workday.
  • Operating department-specific equipment, including computers and office technology, for more than two-thirds of the workday.
  • Constantly positioning oneself to accomplish the essential functions of the role.
  • Receiving and communicating information and ideas through various channels for more than two-thirds of the workday.
  • No requirement to traverse the work location, ascend or descend ladders, or transport or exert force as part of the role.
