About the position The Appeals (AP) Division is a critical component of the Independent Office of Appeals, responsible for handling various administrative tasks that support multiple offices and teams of professional and technical employees. This position involves a range of duties that require both remote and onsite support, ensuring that the administrative processes related to revenue laws are executed efficiently. The incumbent will retrieve reports and technical materials from automated systems, which include forms, correspondence, and documents that contain legal, technical, or procedural language. This role is essential in maintaining the integrity of the administrative record and ensuring compliance with various regulations and procedures. In this position, the employee will be tasked with researching, analyzing, and extracting information from both internal and external sources. This involves summarizing data for ad hoc report requests and submitting responses for transmission to the requesting parties. The incumbent will also analyze case information to determine the appropriate procedures for closing cases that involve multiple work streams. A significant part of the role includes maintaining and updating various manual and automated tracking systems used in processing cases, as well as preparing folders, case files, acknowledgments, forms, and closing documents for technical team members. The employee will serve as an expert source of information on automated systems related to examination, collection, and specialty source casework, including administrative processes and records retention policy. Additionally, the incumbent may be designated as the Information Resource Coordinator (IRC) for multiple offices, organizing and maintaining physical and electronic files, manuals, and handbooks. This position requires a strong understanding of records management issues, including coordinating annual records inventories and ensuring accurate transfers and disposal of Appeals Records. Responsibilities • Supports multiple offices and teams consisting of professional and technical employees both remotely and onsite. , • Retrieves reports and technical materials from automated systems, including forms, correspondence, and documents related to revenue laws. , • Researches, analyzes, and extracts information from internal and external sources, adhering to various regulations and procedures. , • Summarizes data for ad hoc report requests and submits responses for transmission to the requesting parties. , • Analyzes case information to determine appropriate procedures for closing cases involving multiple work streams. , • Maintains and updates manual and automated tracking systems used in processing cases. , • Prepares folders, case files, acknowledgments, forms, closing documents, and transmittal instructions for technical team members. , • Acts as an expert source of information on automated systems for examination, collection, and specialty source casework. , • Organizes, maintains, and disposes of physical and electronic files and records, manuals, and handbooks. , • Serves as a subject matter expert for records management issues, coordinating annual records inventories and ensuring accurate transfers and disposal of Appeals Records. Requirements • Must be a U.S. Citizen or National and provide proof of U.S. Citizenship. , • Must successfully complete a background investigation, including a FBI criminal history record check. , • Subject to a 1-year probationary period unless already completed. , • Typing proficiency with a minimum speed of 40 words per minute with three or fewer errors. , • Experience using computer programs, guidelines, and procedures to provide effective administrative assistance. , • Experience with written and oral communications to effectively interact with employees and management. , • Experience in an office setting with filing, photocopying, faxing, shredding, typing, scanning documents, and uploading customer information.
