Responsibilities
As an Experienced Customer Service Representative – Administrative Operations Support, you will play a critical role in supporting the daily operations of our company. Your responsibilities will include:
- Organizing Office Operations: Assist in organizing office procedures and processes to optimize efficiency and productivity.
- Communication Management: Sort and distribute communications in a timely manner, ensuring accuracy and validity of information.
- Record Keeping: Create and update records, ensuring accuracy and validity of information.
- Scheduling and Planning: Schedule and plan meetings and appointments, ensuring seamless coordination with other departments.
- Supply Management: Monitor the level of supplies and handle shortages, ensuring minimal disruption to operations.
- Troubleshooting: Resolve office-related malfunctions and respond to requests or issues in a timely and professional manner.
- Interdepartmental Coordination: Coordinate with other departments to ensure compliance with established policies and procedures.
- Relationship Building: Maintain trusting relationships with suppliers, customers, and colleagues, ensuring excellent customer service and support.
- Receptionist Duties: Perform receptionist duties as needed, providing a warm and welcoming experience for customers and visitors.
Preferred Skills
We're looking for a highly skilled and experienced professional with:
- Proven Experience: Proven experience as a back-office assistant, office assistant, or in another relevant administrative role.
- Technical Skills: Knowledge of "back-office" computer systems, working knowledge of office equipment, and proficiency in MS Office, QuickBooks, and Excel.
- Analytical Abilities: Excellent analytical abilities and aptitude in problem-solving, with a strong attention to detail and discretion.
- Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with colleagues, customers, and suppliers.
- Organizational Skills: Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
Essential Qualifications
* Valid Driver's License: A valid driver's license and dependable transportation are required for this role.
- High School Diploma: A high school diploma or equivalent is required.
- Administrative Experience: At least 2 years of experience in an administrative role, preferably in a fast-paced office environment.
