Position: Contract Management Specialist (San Antonio, TX) locations: Virtual Location

  • * Summary
  • * The Contract Manager will support the company’s Legal Department by managing the full contract lifecycle, including contract intake and triage, and overseeing a variety of key administrative and compliance functions such as insurance, business registrations, licensing, and related compliance filings as needed by the Legal Department. This role serves as a key liaison between Legal, Sales, Finance, Procurement, and other business stakeholders to facilitate efficient contracting processes while mitigating legal and business risk.

This position is ideal for someone who is detail‑oriented, process‑driven, and comfortable handling administrative matters and managing multiple legal‑operations workflows beyond traditional contract management.

  • * Essential Duties and Responsibilities
  • *** Contract Lifecycle Management
  • * Manages the end-to-end contract lifecycle, including intake, drafting, review, negotiation, execution (via Docu Sign), amendments, renewals, and termination as directed by the attorneys.

Tracks key contract, state and local registrations dates (renewals, expirations, notice periods) and ensures timely action.

  • * Contract Review & Negotiation Support
  • * Handles first pass reviews of routine commercial agreements (e.g., NDAs, simple RFPs, customer questionaries, etc.)Reviews contracts for compliance with company policies, risk tolerance, and applicable laws.

Supports attorneys in contract negotiations and escalates legal issues as appropriate.

  • * Stakeholder Collaboration
  • * Acts as a primary point of contact for internal clients on contract-related matters.

Partners with Sales, Procurement, Finance, and Operations to streamline contracting workflows. Provides guidance to business teams on contract terms, processes, and approval requirements.

  • * Compliance & Risk Management
  • * Ensures contracts comply with internal policies, regulatory requirements, and corporate governance standards.

Supports audits and internal reviews related to contracts and compliance.

  • * Systems & Process Improvement
  • * Administers company contract management systems (Luminance) and ensures accurate data entry and reporting.

Develops and improves contract processes, workflows, and metrics to increase efficiency. Trains internal stakeholders on contract procedures and best practices for legal ticket submission and review.

  • * Administrative Support
  • * Assists with management of all legal invoices including maintaining spreadsheet, tracking approved, paid and actuals versus budget.

From time to time, provides expenses report assistance, calendar management including planning, scheduling, and coordinating meetings, conference calls as well as reserving and preparing facilities for such events or legal summit meetings.

  • * Associate degree or equivalent experience.

4+ years of experience in contract management, legal operations, or a related in-house or law firm legal role. Strong understanding of commercial contracts and contract lifecycle management. Excellent organizational, analytical, and communication skills. Ability to manage multiple priorities in a fast-paced environment.

Skills and Abilities

  • * Experience working in an in-house legal department.
