About the Position

The Customer Experience Chat Support Associate plays a pivotal role in supporting our vibrant and engaged community of veterinary professionals. In this position, you will be the frontline ambassador of arenaflex, engaging with users through live chat conversations, email correspondence, phone calls, and other communication channels. Your primary mission will be to ensure that every interaction with our platform is smooth, intuitive, and genuinely helpful.

Members of our support team work collaboratively to deliver a consistently excellent experience for our users. You will be responsible for helping veterinary professionals navigate the platform, troubleshoot any challenges they encounter, and provide thoughtful guidance that supports their purchasing decisions and operational workflows. Whether you are answering a quick product inquiry, walking a user through a new feature, or escalating a complex issue to our engineering partners, your contribution will directly influence the satisfaction and success of our growing community.

Key Responsibilities

  • Multi-Channel User Support: Respond promptly and professionally to user inquiries through live chat, email, and phone, ensuring timely and accurate resolution of questions and concerns.
  • Effective Troubleshooting: Diagnose issues quickly and explain scenarios and solutions in a clear, easily digestible manner that empowers users to succeed independently in the future.
  • Account Management: Handle a variety of daily and weekly administrative responsibilities, including proactive account management, item issue reports, item reviews, credit approvals, and other operational tasks.
  • Cross-Functional Collaboration: Partner closely with our engineering, vendor relations, and corporate teams to share user feedback, surface feature requests, and recommend enhancements to platform tools and resources.
  • Vendor and Partner Communication: Work directly with vendor and industry partners to streamline communication channels, coordinate alerts between systems, and ensure seamless integration of services.
  • Process Improvement: Continuously identify opportunities to develop and refine processes that streamline support workflows, increase efficiency, and elevate the overall user experience.
  • Product Demonstrations: Conduct platform demos for prospective and existing users, showcasing key features and helping veterinary practices unlock the full potential of arenaflex.
  • Community Engagement: Participate actively in internal discussion boards and knowledge-sharing initiatives to foster a collaborative team environment and contribute to collective learning.

Essential Qualifications

  • Minimum of one year of relevant customer-facing work experience in a professional setting.
  • A two-year Associate's degree or four-year Bachelor's degree from an accredited institution.
  • Excellent written and verbal communication skills, with a demonstrated ability to convey information clearly, concisely, and compassionately.
  • Patience, empathy, and professionalism when handling difficult or emotionally charged situations.
  • Strong adaptability and the ability to manage multiple concurrent responsibilities in a dynamic, evolving environment.
  • A positive attitude and a genuine team-player mentality, with excellent collaboration skills and a willingness to support colleagues.
  • A strong desire to learn, grow, and help our customers succeed at every stage of their journey with arenaflex.

Preferred Qualifications

  • Prior experience in chat support or other live messaging platforms such as Intercom.
  • Familiarity with eCommerce platforms, SaaS products, or digital marketplace environments.
  • Background in veterinary, healthcare, animal welfare, or related industries.
  • Previous startup or technology company experience is a plus, though not required.
  • Experience with customer relationship management (CRM) tools and ticketing systems.
