Position Overview

We are actively seeking a highly motivated, detail-oriented, and dependable Remote Data Entry Specialist to join our growing operations team. In this role, you will be responsible for accurately entering, updating, and maintaining critical data within our internal systems, ensuring the quality, integrity, and consistency of the information that drives our logistics and customer service processes. The work you do will directly influence the speed, accuracy, and reliability of operations that affect thousands of customers every day.

This is a fully remote position, offering you the flexibility to work from the comfort of your home while contributing to a high-performing, supportive team. The ideal candidate is self-disciplined, thrives in a structured work environment, possesses exceptional attention to detail, and is comfortable working independently while collaborating effectively with distributed team members across multiple time zones.

Key Responsibilities

Data Entry and Processing

  • Accurately input high volumes of data into company databases, tracking systems, and proprietary logistics software platforms with minimal errors.
  • Verify the accuracy, completeness, and consistency of source data before entering it into any system, following established protocols and quality standards.
  • Ensure all data is up to date, correctly formatted, and properly categorized according to company guidelines and industry best practices.
  • Process inbound and outbound shipment information, customer records, billing details, and tracking updates in a timely manner.

Data Management and Organization

  • Maintain, update, and audit customer information, vendor records, and operational data across multiple internal systems.
  • Assist in the management of both digital and physical records, ensuring compliance with data retention policies and security protocols.
  • Organize, prioritize, and manage multiple data entry tasks simultaneously to consistently meet deadlines and service-level agreements.
  • Support continuous improvement initiatives by identifying inefficiencies in data workflows and proposing practical solutions.

Quality Control and Accuracy Assurance

  • Conduct regular data quality checks, reconciliations, and audits to identify inconsistencies, duplications, or errors within the system.
  • Promptly identify, correct, and document data entry errors, escalating complex issues to supervisors or team leads as needed.
  • Collaborate with cross-functional team members to investigate and resolve data discrepancies, ensuring long-term accuracy of records.
  • Maintain detailed logs of corrections, updates, and quality issues to support reporting and process improvement efforts.

Communication and Collaboration

  • Communicate effectively with internal teams, including operations, customer service, and IT, to clarify data requirements and resolve ambiguities.
  • Report any technical issues, system glitches, or process inefficiencies to the appropriate support channels in a timely manner.
  • Participate in virtual team meetings, training sessions, and one-on-one check-ins to stay aligned with team objectives and evolving procedures.
  • Provide feedback on workflow tools, templates, and documentation to help improve the overall data entry experience.

Qualifications and Requirements

Education

  • High school diploma or equivalent is required.
  • An associate’s degree or higher in business administration, information management, supply chain, or a related field is preferred.

Experience

  • Previous professional data entry experience is strongly preferred, ideally in a logistics, shipping, e-commerce, or customer service environment.
  • Experience with logistics platforms, shipping systems, or enterprise-level database tools is a plus.
  • Demonstrated ability to handle repetitive tasks with consistent accuracy and focus.

Core Skills and Competencies

  • Exceptional attention to detail and a strong commitment to accuracy in every task performed.
  • Proficient in Microsoft Office Suite, particularly Excel, including familiarity with formulas, filters, and basic data manipulation.
  • Excellent typing speed and accuracy, with a minimum of 50 words per minute preferred.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and meet competing deadlines.
  • Clear and professional written and verbal communication skills.
  • Self-motivated and disciplined, with the ability to work independently in a remote setting without direct supervision.
  • Comfortable adapting to new software, systems, and evolving processes in a fast-paced environment.

Technical Requirements

  • Reliable, high-speed internet connection capable of supporting real-time data entry and video communication.
  • A personal computer with up-to-date operating systems, software, and active antivirus protection.
  • Ability to use remote communication and collaboration tools such as Zoom, Microsoft Teams, Slack, or similar platforms.
  • A dedicated, distraction-free home office environment suitable for sustained focus and confidential work.
