Your Role at arenaflex

As a Remote Travel Event Coordinator & Customer Experience Specialist at arenaflex, you will be the cornerstone of event planning and execution for a diverse portfolio of travel-related events. Your primary responsibility will be to coordinate and organize various events within the travel industry, including but not limited to conferences, corporate meetings, incentive trips, and destination weddings. From the moment a client shares their vision to the final applause at the event’s conclusion, you will be there to ensure that every detail is thoughtfully planned, expertly managed, and flawlessly delivered.

This is a fully remote position, giving you the freedom and flexibility to work from the comfort of your own home while collaborating with a passionate, supportive, and globally connected team. You will engage with clients, vendors, and team members across multiple time zones, making strong communication skills and a proactive mindset essential to your success.

Key Responsibilities

  • Event Design and Conceptualization: Plan, design, and conceptualize travel-related events that reflect the unique preferences, objectives, and budgets of each client. Whether it is a corporate retreat in the mountains, a luxurious destination wedding on a tropical beach, or a high-energy incentive trip for a sales team, you will craft experiences that resonate and inspire.
  • Venue Research and Selection: Conduct thorough research to identify and select the most appropriate venues, accommodations, and facilities for each event. Ensure that every choice aligns with the event’s purpose, size, and atmosphere, and negotiate favorable terms to maximize value for both the client and arenaflex.
  • Logistics Management: Handle all logistical aspects of event execution, including transportation arrangements, catering coordination, audio-visual equipment setup, and guest accommodations. Your ability to anticipate needs and solve problems on the fly will be key to delivering seamless experiences.
  • Budget Creation and Management: Develop comprehensive event budgets and manage costs effectively throughout the planning process. Make data-driven, cost-effective decisions that meet financial goals without compromising on quality or experience.
  • Vendor Collaboration: Build and maintain strong relationships with a wide network of vendors, including caterers, decorators, entertainers, and transportation providers. Negotiate contracts, manage expectations, and ensure that all vendor services align with the event’s standards and timeline.
  • Client Communication and Relationship Management: Maintain clear, regular, and proactive communication with clients throughout the entire event lifecycle. Provide updates, address concerns, and offer expert guidance to ensure that clients feel supported, informed, and excited about their upcoming event.
  • Marketing and Promotion: Collaborate with the marketing team to develop and execute strategies that promote travel-related events, attract participants, and enhance brand visibility. Your creativity will play a vital role in driving attendance and engagement.
  • On-Site and Virtual Event Support: While this is a remote position, you will coordinate on-site logistics and provide virtual support during events to ensure everything runs smoothly. You will be the central point of contact for all stakeholders, ready to troubleshoot and adapt as needed.
